ABOUT THE JOB:
The Administrative Secretary reports directly to the Vice President.
The Administrative Secretary provides executive, administrative, and development support to the Vice President the Administrative Secretary serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Vice President.
The Administrative Secretary serves as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
PRIMARY
Responsibilities:
Assist the VP with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
Communicates with the general staff on the VP's behalf and coordinates logistics with high-level meetings both internally and externally.
Coordinates meetings and strategic activities with the senior leadership, and the management team.
Filing and retrieving corporate records, documents, and reports.
Supports Vice President in his external commitments related to Guy Roofing, including service on external boards, committees and other groups.
Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
Helping prepare for meetings.
Ensure knowledge of staff in and out of organization.
Monitor visitor access and maintain security awareness.
Provide general administrative and clerical support.
Run business errands.
May be required to work weekends or overtime.

Qualifications:
Bachelor's degree or 3-5 years in equivalent experience Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Knowledge of computer skills, MS Office.
Good communication skills and professional personal presentation Ability to work independently and with professional discretion.
Must possess problem solving approach to daily duties Ability to organize daily workload by priorities.
